Now let’s put this into industry-speak. When we talk about utilization, you want your people to be as productive as possible and output work at a good (yet reasonable) clip. But the truth is many factors influence people's utilization—their unavailable time, any committed future work, their roles and responsibilities… utilization is nuanced!
Fully acknowledging this, Teamwork.com has added new columns, visualizations, and tracking options to our Utilization Report to help you paint a unique and customized utilization picture for every team member. It's time to bring all resourcing information under one roof once and for all!
Right on target, every time
Before we begin, Scale customers are now able to set a “Billable utilization target” for every user on their team. Set this in the People section or user details modal as a rough gauge as to how much billable output is expected from the user. This acts as a handy performance benchmark and uniquely fits different roles—individual contributors likely have more billable work than leadership, resulting in a higher target. Remember… utilization is nuanced!
More metrics, more magic
Let’s deep dive into the Utilization Report columns! Spoiler—these columns can also be added to your user-level Custom Reports, making utilization information as accessible as possible.
Billable target* - The billable utilization target that a user is expected to achieve.
Billable target met* - The percentage of billable utilization a user has achieved compared to the billable target they are expected to reach. Acts as a great performance benchmark to see how on/off they are from their target.
Allocated time (Hrs/min)* - The total amount of time a user has been assigned to an allocation(s). Helpful in high-level planning to secure a resource for an amount of time before the specific tasks are assigned.
Allocated time %* - The percentage of a user's time that has been assigned to an allocation(s). Low values mean that a user's time is not fully allocated, while values over 100% mean overscheduling.
Total working hours (Hrs/mins) - The total amount of time a user is contracted for. It includes both their available and unavailable time.
Available time % - The percentage of a user's available time relative to their contracted total working hours. It shows how much time a user can log, be estimated for, and be allocated to.
Unavailable time % - The percentage of a user's unavailable time relative to their contracted total working hours.
Non-billable time % - The percentage of a user's available time that was logged as non-billable. Helps to re-balance work to optimize for more billable time.
Number of clients - The total number of clients a user works across. Helps to understand the level/amount of client demands.
